What an invoice needs to say
An invoice has to answer four questions without a phone call: who is asking for payment, who owes it, what for, and how much by when. That means your business name and contact details, the customer, a number that identifies the invoice, the date, a line for each thing you did, the total and the date it is due.
If you charge tax, show the rate and the amount as their own line, and include your tax registration number in your details. The exact rules depend on where you trade, so check what your tax authority requires on an invoice.
Deposits and getting paid on time
If the customer paid a deposit when they booked, enter it under already paid. The invoice then shows the full price, the deposit taken off and the balance due, which avoids the common argument about whether the deposit was on top.
Number your invoices in sequence and never reuse a number. Send the invoice on the day the work is finished, state a due date, and put how to pay in the notes. An invoice that arrives a fortnight late gets paid a fortnight later.
Questions
Is the invoice generator really free?
Yes. There is no account, no limit on the number of invoices and no watermark across the page. A small line at the foot of the PDF says where it was made.
Is what I type stored anywhere?
No. The PDF is created in your browser. Your customer details and amounts are not sent to our servers, which also means the form is empty again if you reload the page.
What invoice number should I use?
Any system that gives each invoice its own number in order, such as INV-0001, INV-0002 and so on. Keep the sequence unbroken: gaps and repeats cause questions at tax time.
How do I show a deposit on an invoice?
List the work at its full price, then enter the deposit as already paid. The invoice shows the total, the amount paid and the amount still due.
When should an invoice be due?
For work done at a customer's home, payment on completion or within a few days is normal. For business customers, 14 or 30 days is common. Whatever you choose, agree it before the job and print it on the invoice.
