Trade Show Appointment Scheduling Software for Exhibitors
Put a booking link and a QR code on your stand and in your pre-show emails. Visitors pick a 15 or 30 minute slot with a named member of your team, each person has their own hours for each show day, and nobody needs an account to book.
Trade show appointment scheduling software lets exhibitors publish a booking link or QR code so visitors reserve a 15 or 30 minute slot with a named team member before or during the show. BookingMachine does this with per-day hours for each person, no visitor account, optional paid consultations, and every booking emailed to you and listed in your dashboard.

Free Website
No event page? Your free hosted website lists what you are showing, who is on the stand and the slots still open, with your own domain on Pro.
Auto-Collect Reviews
After the show, mark each meeting complete and the visitor is emailed a short review request you can show on next year’s page.
Sound Familiar?
These are the problems that cost you time, money, and clients every week.
Your best prospects walk past because everyone on the stand is already deep in another conversation.
Pre-booked slots mean the people you most want to meet have a time with their name on it, and the walk-up traffic fills the gaps rather than the whole day.
Meetings are arranged in email threads and a shared spreadsheet, and two colleagues promise the same engineer at 2pm.
One calendar per person. A slot that is booked is not shown to the next visitor, and every booking is emailed to you and listed in your dashboard.
Visitors scan a QR code, land on a form that wants a password, and leave.
The booking page asks for a name, an email and a topic. Nothing else stands between the scan and a confirmed time.
After the show you have a pile of badge scans and no record of who actually met whom.
Each booking records the visitor, the team member, the day and the topic. Offer a follow-up call as a service and the next conversation books itself before they leave the hall.
Why Trade Shows Businesses Choose BookingMachine
Timed Slots With Named People
Add each person on the stand as a team member with their own hours for each show day. A visitor who wants the integrations engineer books the integrations engineer, not a vague promise to find someone.
Slots Run Out, Not Your Team
Each person’s day holds a fixed number of 15 or 30 minute slots. When they are taken they are not offered again, so nobody is double booked and the stand is never promised to two visitors at once.
No Account for the Visitor
A visitor scans the code, picks a time, enters a name and email, and is done. There is no sign-up, no app to install and nothing that makes a busy person walk away.
Everything You Need to Run Your Trade Shows Business
Show Hours Per Day
Set the hours each person is on the stand for Day 1, Day 2 and Day 3, and block the days they are travelling. Visitors only see times that exist.
Named Team Members
Add sales, product and technical staff as team members. Visitors choose who they want to meet, or any available person.
Topic Selection
Add a Topic option so visitors say what they want to cover. It is shown with the booking, so your colleague walks into the meeting prepared.
QR Code and Booking Link
One link and one QR code for the stand graphics, the pre-show email, the badge insert and the social posts. They all land on the same calendar.
One Slot, One Visitor
A taken slot is never offered twice. Two people booking at the same moment cannot both get the same time with the same person.
Paid Consultations
Charge for an in-depth technical consultation or a workshop seat and take payment at booking, into your own Stripe account. Free demos stay free.
Smart Pricing That Fits Your Business
A visitor picks "Technical Consultation", chooses Day 2 and the topic "Technical deep dive", and sees $180 before paying. Free demos and stand meetings show $0 and are booked the same way.

Trade Shows booking: what to know
How to schedule meetings at a trade show
The simplest way to fill a stand with the right conversations is to let visitors book them before the show. Create a booking page with two or three meeting types, a short demo and a longer sit-down, and send the link in your pre-show email to registered attendees and your own prospect list. People who already know they want to talk to you pick a time, and your team walks onto the stand with a diary rather than a hope.
During the show the same page lives behind a QR code on your stand graphics. A visitor who finds everyone busy scans it, sees the next open slot with the right person and books it, instead of promising to come back and never doing so. Each booking arrives by email and in your dashboard, with the visitor’s name, email, chosen topic and the team member they are meeting.
After the show, offer a follow-up call as a bookable service. The visitor books it while the conversation is fresh, and the hand-off from the stand to the sales process happens without a chain of emails.
Setting up the stand calendar: days, people and slot length
Start with your hours. Set them to the show’s opening times for each day and block any day your team is travelling. Then add each person who will take meetings as a team member. Each gets their own hours, so the engineer who is only there on Day 2 only appears on Day 2, and the person giving a talk at 11am has that hour blocked.
Next decide the slot length. A 15-minute demo and a 30-minute meeting cover most stands. Because every service has a set duration and every person has set hours, the number of slots each person can take in a day is fixed by those two numbers. Nobody can be booked twice for the same time, and a slot that is taken is not shown to the next visitor.
Add a Topic option with the four or five things visitors usually ask about. It costs nothing to pick, but it tells your colleague what the meeting is for before it starts, and it tells you afterwards which topics drew the most interest.
Getting visitors to book: pre-show emails, the QR code and the stand
One booking link serves every channel. Put it in the pre-show email, in your social posts in the weeks before, in your email signature and on the exhibitor profile the organiser gives you. Print the QR code large on the stand graphics and small on anything you hand out. All of them land on the same calendar, so there is no separate list to reconcile.
Keep the page quick. Visitors are standing in a busy hall with a bag in one hand. The booking form asks for a name, an email and a topic, and there is no account to create. The page carries your logo and brand colours, so it reads as yours rather than as a third-party form.
If you have a landing page for the event, embed the booking widget on it with one line of code. If you do not, the free hosted website gives you a page that lists what you are showing, who is on the stand and the open slots, and on the Pro plan it can sit on your own domain.
Paid demos, follow-up calls and what happens after the show
Most stand meetings are free, and they should be. But a 45-minute technical consultation or a seat at a hands-on workshop is worth charging for, and a visitor who has paid turns up. List it as a priced service, and payment is taken at booking into your own Stripe account. Online payments are part of the paid plans, once your payments application has been approved.
When the show ends, mark the meetings complete. Each visitor is emailed a review request, and the ones who reply give you quotes and photos for next year’s event page and for your reviews page. Follow-up calls that were booked at the stand appear in the same calendar as the show meetings, so the week after the show is already planned.
The dashboard keeps the full record: who met whom, on which day, about what, and whether a follow-up has been booked. That is the list your sales team works from, and it was built by the visitors themselves.

Trade Shows Booking Software FAQ
How do I schedule meetings at a trade show?
Set up the show days as your hours, add each person on the stand as a team member, and create two or three services such as a 15-minute demo and a 30-minute meeting. Share the booking link in your pre-show emails and put the QR code on the stand. Visitors pick a person, a day and a time, and the booking arrives by email and in your dashboard.
Can I use this instead of a general meeting scheduler for a trade show?
Yes. A general scheduling link usually belongs to one person and one calendar. Here the whole stand team is on one booking page, each person has their own hours for each show day, visitors can choose a topic, a consultation can be paid for at booking, and the page carries your brand colours and logo.
Do visitors need an account to book?
No. A visitor enters a name and an email address, picks a time and receives a confirmation email. There is nothing to install and no password to create.
Can I limit how many meetings each person takes per day?
Yes. Each team member has their own hours for each day of the show and each service has a set length, so the number of slots per person per day follows from those two settings. Block out lunch or a talk slot and those times disappear from the page.
Does it work for exhibition stand booking or event venue hire?
It is built for timed appointments, which is what exhibitors need for meetings at the stand. If you are the organiser, you can list stand packages or room hire as priced services and take a deposit at booking, but the strongest fit is exhibitors and their visitors.
Is there a free plan?
Yes, and it needs no card. Online payments for consultations are on the paid plans, after your payments application is approved. The pricing page has the current details.
