Built for Tours & Experiences Businesses

Tour Booking Software for Guided Tours, Workshops and Experiences

Guests pick a date, choose the group size and see the price per head before they pay a deposit or the full amount. Run it on your own site or your free hosted website, and collect reviews with photos after every tour.

Tour booking software lets guests choose a date, pick a group size, see the price per head and pay a deposit or the full amount without contacting you first. BookingMachine does this on your own website or a free hosted one, pays into your own Stripe account, keeps a taken departure from being offered again, and emails a review request with photos after each tour.

Sound Familiar?

These are the problems that cost you time, money, and clients every week.

Every enquiry asks whether Saturday is free and how much it costs for three people, and you answer the same thing twenty times a week.

The booking page shows the dates, the price per head and the total for the group. Guests who were going to ask have already booked.

Guests book by message, say they will pay on the day, and do not turn up.

A deposit or the full price is taken at booking into your own Stripe account. A guest who has paid is standing at the meeting point.

Marketplaces bring bookings but keep the customer and set the terms.

Bookings taken on your own website or hosted page are yours. The guest’s details arrive by email and in your dashboard, and the payment goes to your Stripe account.

You run a great tour and there is no proof of it anywhere online.

A review request is emailed after each tour, guests add their photos, and the reviews appear on your reviews page and anywhere you embed them.

Core advantages

Why Tours & Experiences Businesses Choose BookingMachine

Per-Head Pricing Guests Can See

Set the price per person once and add a group size option. A couple sees the price for two, a family sees the price for four, and a small-group discount applies itself.

Dated Departures That Fill Up

Each tour runs at the hours you set. Once a departure is taken it is not offered again, so you never have to email someone to say the Saturday walk was already full.

Reviews With the Guests’ Own Photos

After the tour, guests are asked for a review and can attach the photos they took. For a photography tour, that is the sales page writing itself.

Features

Everything You Need to Run Your Tours & Experiences Business

Group Size Pricing

A price variable for group size multiplies the per-head price, with a smaller multiplier for larger groups if you want to reward them. Private tours take a flat price.

Private and Group Departures

List scheduled group tours and private bookings as separate services with their own prices, durations and hours.

Deposits or Full Payment

Take a deposit at booking and charge the balance when the tour is marked complete, or take full payment up front. Your choice per tour.

Your Site or a Free Hosted Website

Embed the widget on your site with one line of code, or use the free hosted website with a page per tour and your own domain on Pro.

Photo and Video Reviews

Guests add photos or a short video to their review. Show them on your reviews page and embed them on your site.

Season and Time-of-Day Pricing

Golden hour, night shoots and high season can carry their own adjustment, so the price reflects the tour the guest is actually booking.

Pricing engine

Smart Pricing That Fits Your Business

A couple books the "Sunrise Photography Walk" for 2 people at golden hour. The widget shows $195.50 for the pair and takes the deposit you have set. The balance is charged when the tour is marked complete.

Tours & Experiences booking: what to know

Ticket software for photography tours and running tours

A tour operator does not need a ticketing platform built for stadiums. You need a page where a guest can see when the tour runs, what it costs for their group and whether there is still room, and then pay. The confirmation email is the ticket, and your dashboard is the manifest. That is what BookingMachine does, and it does it for a sunrise photography walk, a 10 km running tour or a full-day workshop in the same way.

Each tour is a service with a price per person, a duration and the hours it runs. Add options for anything that changes the price, such as golden hour or a night shoot. Guests pick the date and the group size, see the total, pay and are done. They do not need an account, which matters when they are booking from a hotel lobby on a phone.

Because the booking lives on your own website or your hosted page, the guest is your customer. Their details arrive by email and in your dashboard, and the payment goes to your own Stripe account.

Pricing by group size, season and time of day

Set the price for one guest. Then add a group size option where each choice is a multiplier: two people at two times, three to four at a little under four times, five to six at a little under six. The small discount for larger groups appears on the page without you explaining it, and a couple sees exactly what a couple pays.

Add a second option for the thing that makes some tours worth more. For a photography tour that is light: standard, golden hour, night shoot. For a seasonal business it might be low and high season. Each option can be a percentage, a fixed amount added or taken off, or a fixed price.

Private tours are simpler. List them as a separate service with one flat price for up to a set number of guests. Guests who want the group experience book the group tour, and guests who want the guide to themselves book the private one. Both land in the same calendar.

Deposits, balances and no-shows on tour day

A guest who has paid shows up. Set a deposit percentage per tour, or take the full price at booking. The card is charged through Stripe into your own account at the moment they confirm. If you take a deposit, the balance is charged when you mark the tour complete, or you can send an invoice.

For a tour with a small group, one no-show can be a quarter of the morning’s income. The deposit covers part of that, and your cancellation terms on the booking page make the rest clear before the card is charged. Guests tend to accept terms they read at the moment of booking more readily than ones they are told about on the phone.

Online payments are on the paid plans, and your account applies for payments once it is set up. The booking page, quotes and invoices work on the free plan, so the tours, prices and dates can be ready before the first payment.

Where guests book: your website, a hosted website or a link

If you have a website, embed the booking widget on it with one line of code. It works on Wix, WordPress, Squarespace, Webflow and Shopify, carries your brand colours and logo, and the guest never leaves your page.

If you do not have a website, the free hosted one is built for this. It has a page for each tour, a page about you, and your reviews, and on the Pro plan it runs on your own domain. Many operators start here and never need anything else.

Either way you also get one booking link and a QR code. Put the link in your Instagram profile and your Google Business Profile, give it to the hotels and cafes that send you guests, and print the QR code on a flyer for the tourist office. Every channel lands on the same calendar, so a departure booked from the flyer is not offered again on the website.

Reviews with photos as your sales page

When you mark a tour complete, each guest is emailed a review request. They can write a few lines and add the photos they took, or a short video. For a photography tour the result is a page of your guests’ best shots with their own words beneath them, which sells the tour better than any description you could write.

The reviews appear on your reviews page and can be embedded on your website next to the booking widget. A guest deciding between two tours sees last week’s group at the estuary at sunrise, and books.

The request goes out by email after the tour, not during it, so guests are asked when the experience is fresh and the photos are already on their phone.

Tours & Experiences Booking Software FAQ

Does this work as ticket software for photography tours?

Yes. Each tour is a service with a per-head price and the hours it runs. Guests choose the date, the group size and any option such as golden hour, see the total, pay and receive a confirmation email. That email is their ticket, and the booking is in your dashboard with their details.

How does per-head pricing work?

Set the price for one person. Add a group size option where each choice multiplies the price, for example two people at double and four people at a little under four times. The guest sees the group total update as they choose. A private tour can instead carry one flat price.

Can I stop a departure being overbooked?

Yes. A tour runs at the hours you set, and once a departure is booked it is not offered to the next guest. If you run several guides, add each as a team member with their own hours and the departures are tracked per guide.

Is this the most affordable activity booking software?

There is a free plan with no card that includes the booking page, quotes and invoices, so you can set up your tours and take bookings before paying anything. Online payments are on the paid plans. The pricing page shows the current plans, and payments go through Stripe to your own account.

Do guests need an account?

No. Guests enter a name and email, pay, and get a confirmation email. There is no app to install and no password to remember at the meeting point.

Which experience businesses does this suit?

Photography tours, walking and running tours, food tours, workshops, classes, boat trips and anything else that runs on a date with a group. If you sell a place on something that happens at a time, it fits.
