How a hire is priced

A hire starts from one of three rates: by the hour for short bookings, a half day or a full day for events. Peak days, usually Friday to Sunday, carry a percentage uplift because they are the days everyone wants. The cleaning fee is added on top, the same for every booking, and the deposit is taken from the total.

The weekly table applies the uplift to every rate on every day. Publish it as it stands, state the cleaning fee and deposit alongside, and a customer can price their own event without a call.

Half days, full days and minimum hire

A half-day rate should be a little more than half the full-day rate, and a full day a little less than the hours would cost one by one. That rewards the longer booking and still makes the short one worth opening up for. Set a minimum hire of two or three hours so a one-hour booking does not cost you more in setting up than it earns.

Capacity matters for the price per guest, which is how event organisers compare venues. The calculator shows it for the booking you enter and warns when the guest count is over your limit.

Questions

How much more should peak days cost?

As much as the demand supports. If Saturdays book out months ahead and Tuesdays are empty, the gap is too small. An uplift of 20% to 50% on peak days is common; the right figure is the one that leaves peak days full and off-peak days busier.

What deposit should a venue take?

Enough that a cancellation does not leave the date empty and unpaid. A quarter to a half of the hire charge at booking is common, with the balance due before the event. For dates that are hard to refill, a higher deposit and a longer notice period are reasonable.

Should the cleaning fee be included in the price?

Show it separately. It is the same for a two-hour meeting and a full-day party, so folding it into an hourly rate makes short hires look expensive. A separate fee is also easier to waive for a regular hirer who leaves the place tidy.

How do I price a hire that runs over several days?

Full-day rate for each day, with the peak uplift on the days that fall on peak dates. Many venues give a discount on the second and later days, since set-up and cleaning happen once.
